About Sistema Dance

Sistema Dance is a system for dance festivals — a platform built for those who organize festivals and competitions, and for those who take part in them.

Anyone who has organized a festival knows how much work it is: spreadsheets that get lost, entry forms filled in by hand, music arriving by email the night before, judges' scores added up on a calculator, certificates typed one by one. It's a lot of time spent on repetitive tasks — time that should be going to the stage.

The platform handles this end to end: from the first registration to the printed certificate, including the big screen at the theater on awards night.

Before the event

From when registration opens until the eve of the event.

School registration. Each group registers on its own, enters its dancers and choreographies, and uploads the music and documents. The system validates on the spot: age within the category, minimum and maximum number of dancers per subgenre, music length within the limit. Registration mistakes are caught before the event, not on the day.

Your festival's rules, not ours. Genres, subgenres, categories, age brackets and age tolerance are all defined by you. You can allow a younger dancer to compete in a higher category, limit that to a percentage of the cast, or require a minimum age in master categories. You also decide whether each performance is a showcase (unscored) or a competition. Every festival has its own rules — the platform adapts to them.

Billing and payment. Prices per batch and per subgenre, a progressive extra fee per dancer, discounts, payment receipts uploaded by the group itself and checked by the organizers. Each school sees exactly how much it owes and why — and the receipt date is what sets the price batch, with no arguing later.

Scheduling and rehearsals. Build the running order by dragging with the mouse, with an automatic warning when the same dancer lands in two routines too close together. The rehearsal schedule can be ordered by how far each group travels to the theater — those coming from farther away rehearse later, and nobody wakes up at four in the morning for nothing.

Courses and workshops. Registration, seat control, attendance list and certificates for participants.

On event day

This is where the platform saves the most time — and nerves.

Judges' area. Each judge enters scores on a phone or tablet, right from the table. No paper, no typing afterward, no adding-up errors. You can score with a single mark or by criteria with different weights — technique, interpretation, costume — and each judge also nominates their picks for the special awards. The result is out the moment the last score is in.

Live screens. Average scores and standings appear on the theater screen in real time, updating on their own. Backstage, a screen shows the order of the upcoming routines for those waiting to go on. And the booth marks off from a phone what has already taken the stage.

Music and narration in the right order. Download all the music for the session in a single file, already numbered in the running order. The narration for each routine follows the same numbering — the sound operator gets everything ready, with no hunting for files in email.

The printouts the day calls for. Host's program, stage control, stage cues, the list of music played, score sheets and the judge's booklet. All generated from the same data, always up to date.

After the event

Final results and materials in the schools' hands.

Results and awards. Standings by session and for the whole event, top scores by category and by genre, nominees for the special awards, and the festival's best-group ranking by points. There's also a live screen to prepare the trophies while the session runs — when the host calls the name, the trophy is already set aside.

Certificates. For participation, placement and courses — generated as PDF, with the festival's artwork, ready to print or send.

Public portal. Schedule, news and results are available to the public and to the schools the moment the organizers choose to release them — not before, not after.

Built for the real day

Dance festivals happen in theaters, and theaters tend to have poor internet. That's why judges' scores are saved on the device itself the instant they tap save, and upload on their own when the signal returns. A dropped connection never costs a score.

The organizers also control who sees what: you can give an assistant access without opening up the finances, and step into any school's view to help whoever got stuck during registration.
